Village Hall Committee Minutes June 2024

  4. Matters Arising

Action points from previous meeting

  • Kitchen Ongoing Sub-committee

Syd reported that grant applications are ongoing to:

Morrison’s – Have replied, and rejected application for £10,000 of 16,500

Bernard Sunley and Geoffrey Watling applications are ongoing

Also in the middle of an application to the Garfield Weston Foundation

  • Repair manhole cover surround replacement Ongoing
  • Points from RIsk and H&S Report

Chemicals and COSHH sheets – Ongoing

Mop and broom Storage – Completed Roy put up hooks behind Gent’s toilet door

  • Floor cleaning Ongoing Des has been looking at the possibility of purchasing a refurbished floor cleaner scrubber and polisher for around £180. Darren hasn’t replied regarding cleaning
  • Website update Ongoing Des and his brother have been adding dance dates and BBQ etc, website needed lots of updates

●    Graham reported he had received an updated version of the Village Welcome Pack including village map from Neil which he had planned to circulate to the committee prior to the meeting, but has unfortunately lost the email and files so will ask Neil to resend then share with the committee.

7.  Bookings and events update

  • Tuesday evening booker couldn’t gain access using hall code, need to check key safe number working as it should.
  • Des informed the committee 2 recent bookings had been cancelled
  • Polling day Election booking for 4th July
  • Graham proposed a date for the next social evening of Friday 26th July, which after some discussion was agreed upon.
  • Barbeque event June 1st

The day was considered a success by the committee, although there were some disappointed attendees as we ran out of burgers/ sausages by 5pm and BBQ advertised as 3-6pm.

  • Karen informed the committee she had written to all raffle prize donors thanking them.

Points discussed from an email from Karen regarding event and future events.

  • An event coordinator for future events, Mike Pepperell had suggested another BBQ at August Bank Holiday weekend. Mike’s name was proposed in his absence, but as not a current committee member this was not agreed upon. Des declined the role due to other commitments, Karen was also proposed in her absence, but no firm decision was made.
  • Roles of committee members at events need to be clearer and the secretary agreed to minute such matters more clearly and correctly.
  • After Karen was proposed to be in charge of advertising future events, it was instead

Graham who offered to continue in this role

  • Sarah will contact King’s Beck to discuss future items for the village hall in their bi-monthly newsletter
  • Roy to contact Nick Hindle with regards to banner costs for future events
  • Graham informed committee that there was a villager (Lesley) who was also a local

Estate agent with regards to potentially getting boards to promote events

Next BBQ event

Dates were discussed for a future event, August 31st was considered but hall booked on that date, so Saturday 24th August was decided upon with timing slightly different to previous, 4-7pm with social evening to follow.

Other attractions would be needed for the day, some sort of sports events which will need to be decided upon in the near future. Also a raffle although on a smaller scale than the previous.

AOB

  • Graham is still looking into the possibility of running a dart’s team at the hall on a Monday night, he will need to apply to the league by 17th July and will inform the committee if a team is entered. Also enquired about the whereabouts of the darts electronic scoreboards, Roy thought a previous dart team member had taken them when Felmingham team finished playing. Graham asked if it was okay to have a look for them in the store room.
  • John offered a 2 seater sofa to the committee for hall use, Roy welcomed it for use in the changing room area.
