Village Hall Committee Minutes March 2023

Minutes for committee meeting held on Thursday 9th March 2023 at 7.30pm

  1. Present: Roy, Carole, Syd, Mike, John, Des and Graham
  2. Apologies: Sarah apologised the following day for her absence
  3. Minutes of the previous meeting held on Thursday 8th December 2022: agreed and signed.

  • Entrance Hall Mat replacement  Completed
  • Kitchen quotes for possible grant applications
  • It was decided to carry on to get quotes for possible funding, Roy to chase up

Homebase. Possibly ask Simon and Shane Toll in the village for a quote, need to get an actual layout drawn up for kitchen layout, so can get like for like prices.

  • New policies to be drawn up for Equal Opportunities, Child Protection and Safeguarding.

Check to see what policies other similar organisations have.

  • The possible CAN membership was discussed, having been recommended to us by

NNDC. A decision was made to become a member of Community Action Norfolk, at Silver membership at £50/ year. This will provide example policies for such matters.

  • Electrical / Fire Certificate

  • It was decided to carry on to get quotes for possible funding, Roy to chase up

  • Lapwing contract renewal? They have no candidates to book the hall for at present, but will consider using us in the future if the need arises.
  • Investigate B&B deals for country artists? Will let artists arrange their own.
  • Changing room / side room ideas, possible clearance?, and decoration.
  • Mike kindly offered to paint one of the changing rooms during his Easter break, there is paint already on site for use, Roy will move bowls club furniture back to bowls pavilion
  • First Aid Kit replacement Completed
  • NW town guide advert Completed
  • Insurance liability Policy has £10m public liability and hirer’s £2m

Correspondence

Des has had Gail contact with regards to possible First Aid courses being held at the hall for any interested villagers, courses from basic first aid to 2 day courses, Des will email members with more information and prices.

Treasurer’s Report

Community Account £5613.01

Business Premium Account £14603.78

Lapwing fully paid up, Reed Wellbeing payment up to previous month. Lots of one off payments recently this year including new sound system, entrance carpet and electrical certificate amounting to approx. £1200.

Syd has now arranged a new tariff for electricity. 1 year fixed deal with EON.

Website and Social media

Website Des has removed football and bowls information, trying to update calendar, but system version keeps updating making it very difficult.

Country dates on website and Facebook for bookings up to the end of May. Village hall minutes on website.

Bookings including Country nights update

There are 4 more Reed wellbeing bookings, a yoga day booking, Polling Day booking on May 4th, 2 birthday parties.

We have 4 country nights booked in March, and bookings arranged for the rest of the year and next year arranged. Des hires out the hall around the dates arranged by Roy for Country nights.

Roy is sending more booking dates to Des to update the website. The new sound system is working well.

AOB

Roy reported that the Gents toilet may have a crack in the pan, will check

Cromer Electrical are coming to fix the light in front of the hall.

Roy contacted a plumber to fit new thermostats to main hall radiators, but booked up for 6 weeks. A possible cost of £40/radiator to fit was discussed. Mike again kindly offered to potentially carry out the work himself over Easter time.

Possible ideas for Coronation W/E?

An event for Bank Holiday Monday 8th May was considered, but with no definite plans. Now that we have wi-fi, a guest password is to be set up with display signs.

Charity commission sign-in to be sorted out over next week
