Village Hall Committee Minutes October 2024

  3. Minutes of the previous meeting held on Thursday 19th September 2024:

  1. Matters Arising

Action points from previous meeting

●    Kitchen  Ongoing 

  • Repair manhole cover surround replacement Ongoing Chris Turner has on his list
  • Committee task list
  • Including gutter cleaning Completed: by Mike, Roy also purchased and fitted a new end.
  • Carpet edging in bar to be fixed Action: Graham again offered to clean glue off the floor at social night
  • Garden tidy up Completed by Karen and others, Roy has purchased and planted winter flowers.
  • Floor cleaning Ongoing: Roy reported that the floor needs cleaning and polishing ASAP, Graham has contacted Darren Jarrad who replied he would fit the job in, but had not given a date. Will recontact to gain an update.
  • King’s Beck Newsletter article Completed: Sarah has sent a news article for inclusion to Rev. David and will again for the December and January edition
  • Social night rules for children?

Action: Roy will put up a notice regarding supervision of children by parent/guardians.

  • Topsoil for playing field

Completed: Topsoil purchased for £100, Roy and John have levelled top soil and planted grass seed which is coming through.

It was also discussed the possibility of purchasing more road planings for the parking area at the side of the hall, as some areas were now becoming muddied and grass and weeds coming through, this was last done approx. 15 years ago. Roy and John to visit Carl Bird site to find out costs.

  • Website Ongoing: Karen reported that her husband Neil has offered to help manage the the Felmingham Village website. We currently pay £75 to Wayne Beauchamp a year for hosting, Karen offered to speak to Des to find out how they can help update the website, Roy to contact Des, we will also need to contact Wayne B.
  • Vac purchase Completed: Roy has purchased a Ryobi hand vac
  1. Correspondence
  • Roy had a visit to the hall from Tim Papworth regarding possible hire by Young Farmers group, they are interested in hiring hall after Zumba sessions and for bar use on Tuesday evenings, the hall however may already be booked at these times, he will be contacting Des.
  1. Treasurer’s Repor

Syd has now fortunately returned from a spell in hospital and was warmly welcomed back.

He reported that he has not yet completed the accounts for the financial year but will do so before the AGM in November.

 

Bank balances at end of September were:

There is a negative balance for October of £652

Recent purchases include heating oil at £321, topsoil £100, drinks licence £70 and a new water heater/ tea urn for the kitchen.

Sarah handed in a £10 donation from the walking group who used hall toilets earlier in month. Syd has done a bar stocktake and Claire has too.

  1. Bookings and events update

New Year’s event

Karen confirmed she would not be available on this date, but Sarah said will be around as not now travelling over the Christmas period. No further plans made.

  • Annual General Meeting

Hall will be opening at 7 for 7.30pm meeting

Sarah to make tea and coffees and Karen to make cake to bring, Graham to put up posters at the shop etc.

  • Roy has weedkiller spray for John to use on the playing field, John has sprayed this end of field and will do far end near the football goal.
  • Roy informed the committee the village hall insurance was due at the end of November and the price has gone up £23. It was worked out that this was a 3.9% rise, and the committee advised Roy to go ahead with renewing the policy.
