Village Hall Committee Minutes September 2023

  3. Minutes of the previous meeting held on Thursday 17th August 2023: agreed and signed.
  4. Matters Arising

Action points from previous meeting

  • Kitchen ONGOING Have a quote from Homebase, Roy to pass quote onto Mike to check layout, Possible quote from Howdens, also MKM and Syd contacting Wickes.
  • Radiator thermostat replacement ACTION Roy has spoke to Steve the plumber, 12 needed will ask to go ahead and fit
  • Leaflet for industrial estate drop ACTION Graham has designed leaflet, will print off 60+ and arrange delivery between himself and Roy
  • Memorial bench ONGOING Waiting on Parish Council decision at their October meeting
  • Wi-fi signage ONGOING
  • Card reader COMPLETED
  • Garden tidy up COMPLETED
  • Hive Heating Controller System ONGOING Checking compatibility

  1. Treasurer’s Report      

Total accounts as of 25th September at £22688.19

Credit notes for Water, and money owed still for BT and playing field cutting.

Syd has drawn up a detailed spreadsheet for the Country and Western dances. Overall the 25 dances over the past financial year have brought a net profit of £3557.32. There is one more dance on 29th, before the end of the village hall’s financial year. Roy is also to inquire into the catering costs for the Christmas C&W dance this December, as this usually includes a buffet in £10 entrance fee.

Roy and committee thanked Syd for his detailed accounting.

  • Card reader purchased at £148 from square, one transaction at £4.80, 8p charge, money in a/c next day.
  1. Bookings and events update

Roy asked the committee for permission to add a further booking on December 1st for Bobby Graham, as has only booked him once in the past year and is a popular artist. The committee was not against it, so Roy will go ahead and book. Although it was pointed out that as there were 2 dances already in December this may be at the expense of the popular village social night.

Casino night December 30th Was not discussed as Mike was not in attendance, but it was agreed that it needs to be sorted out soon.

Des informed the committee that we have 3 events with bar over w/e 13-15th October, bar staff needed to be sorted for a party on 15th as Claire is unavailable, Syd will email Gemma to find out availability.

Village Hall gmail a/c Graham requested the possibility of using the village hall secretary a/c for village hall business, as having problems sending emails with his personal email a/c. 

Repair manhole cover on front car park Decided to ask Chris Turner to repair

Village Hall to make Charity donations of £25 each to Alzheimer’s Society and Cancer Research in respect and memory of villagers Billy Wood and Kevin Jarrad. Syd to arrange payment to Murrell Cork via John

Next meeting date to be brought forward from 9th November, now to be Thursday October 26th at 7.30pm
