Village Hall Committee Minutes September 2024

  3. Minutes of the previous meeting held on Thursday 8th August 2024: agreed and signed. 4. Matters Arising

Action points from previous meeting

  • Kitchen Ongoing Roy raised the possibility of covering kitchen worktops with vinyl, as they have become quite stained.

A reply to our request for a grant from the Bartrum Trust will be replied to soon, according to Rev. David.

AGM on November 28th open at 7pm and then meeting at 7.30 also Social night on November 1st Halloweenish! 

  • Social night rules for children?

Claire reported to the committee that some of the pool/table tennis equipment had been damaged at the last BBQ/social and also children were running into the bar area.

It was discussed whether signage should be put up for rules for children, also possibly making the bar area a no under 16 age area. Graham offered that members of his family sometimes sit in the bar area on a social night who are under 16. No firm decision yet made either to allow children in bar area or not  Mike to look into the rules and laws on children in bar areas

  1. Correspondence
  • Tim P has rang Roy. re: NYF wants to have a look at the hall for possible use.
  1. Treasurer’s Report   

No financial report available at present as treasurer Syd has been hospitalised, and will be unable to process and update the accounts for the immediate future.

Monies are being paid in by Roy, who is keeping receipts. Claire is organising the float for the bar for dances etc, also taking stock of the bar for supplies which Roy will purchase.

Committee members asked whether there is anything we need to do in Syd’s absence, or if someone could stand in on a part-time basis to cover for Syd. However as no-one has any access to Syd’s financial spreadsheets and systems it was decided to carry on as we are for the meantime, any bills we receive will still get paid, and we will review the situation at the next meeting which is on October 31st. John has kindly sent a card to Syd on behalf of the committee, and the committee sends their best wishes to Syd and his wife Judith.

  1. Bookings and events update
  • Des the booking clerk was not present so couldn’t update the committee
  • Sarah has a walking group who she has offered use of the toilets to on October 11th, and will open and lock up the hall and will check with Des regarding other bookings on the day
  • Barbeque Saturday August 24th 4-7pm and social evening to follow.

The BBQ event was unfortunately not the success of the previous event, due to the weather also the committee was very down on numbers on the day, the gazebo at the front of the hall was a positive idea and may have helped to show the event was on, although not much of a profit was made, but costs were covered and still have a stock of supplies in reserve for the future

There is now Yoga at the hall on Mondays 2-3pm, for the coming few weeks.

It was asked whether a casino night may be run this year at New Year, Mike reported he has looked into the possibility and we would need 8-10 people to run the evening to make it a success, and unfortunately we do not have the number of available members to do so.

Roy has a Christmas Country dance on December 20th

Mike suggested a Karaoke night for New Year’s Eve, and it was agreed to go forward with this idea. Tuesday December 31st 8pm – 1am. Signage to be put up outside on fence etc. An entrance charge was considered but decided against.

AOB

  • Mike noted that the website is very out of date, Graham said that much of the information that gets added also later gets removed again. Roy suggested contacting Wayne Beauchamp again.
  • Karen informed the committee that her husband is a website creator and has offered to set up a new website, if we cover the hosting charges which are necessary, currently it is thought we are paying £60 and £17 amounts for the current website, will find out about ending contract with Wayne B and setting up new website. Karen to look into the costs for this.
  • Roy has weedkiller for playing field, John to sort out spraying.
  • Roy asked if we could purchase a hand vac for cleaning hall chairs etc, and possibly a new main vacuum cleaner also, as others are past their best. Mike suggested that Ryobi were currently promoting a very good deal for rechargeable battery based equipment.
